One row per custodian, and its whole ledger

An assignment is money placed in one holder's custody — a person, a vehicle, a shift, a store, a contractor. Open the row and you get the position, the funding source, and every movement since it was opened.

Append-only. A correction is a reversal.

Nothing in the ledger is ever edited or deleted. A mistake is fixed by posting a reversing entry that points at the row it corrects — so the original stays, and the fix is visible as a decision somebody made.

The count is what makes a balance a fact

A number in software is a claim. A cash count is the proof. Limit assignments are counted against their target; collection bags reconcile what Billing says is owed against what was collected and what was banked.

No variance is ever absorbed

A difference is somebody's consequence. A shortfall routes to Payroll, a surplus to Billing — or it is waived with a written reason that stays on the record. There is no third option, and no way to make a difference simply disappear.

Three consoles, one application

Finance sees the whole position. An approver sees only what is waiting on them, and cannot approve twice. A custodian sees what they are holding and the four things they may record against it — and nothing else in the org.

Fair questions, straight answers.

Is this accounting software?
No. It is a subledger for cash held outside the bank, and it is deliberately never the money of record — your bank statement and your general ledger remain authoritative. What this gives you is the thing they cannot: who was holding the money, what they did with it, and who counted it.
Someone recorded the wrong amount. Can they fix it?
They can correct it, but not by editing it. The ledger is append-only, so the fix is a reversing entry posted beside the original — and a row can only be reversed once. You end up with three entries that tell you exactly what happened, instead of one entry that quietly changed.
What happens when a custodian leaves?
If your offboarding feed is connected, anyone with an open assignment appears on the settlement screen with their last day and what they are still holding — one alert per assignment, because a person holding three floats is three things to settle. A shortfall only reaches Payroll after the custodian has seen it.
